NORTH PENN MODEL A FORD CLUB
Meeting – Saturday, May 1, 2021
Classic Auto Mall, Morgantown
 
Twenty-one club members met at the Holiday Inn and the Classic Auto Mall in Morgantown to review and discuss plans for hosting the MARC Meeting, June 5-11, 2022.  June 11 was mentioned at the meeting but the Sample Meet Schedule shows the scheduled events end on Friday, June 10.  When does the Meet end?  Anticipated attendance is 450-500.  MARC will have 12-15 people from HQ to help onsite.  A small group met previously on April 12 to begin planning – Bob Martino, Tom Hudecki, Carol Allen, Tony Russo, Frank Falcone, Phil Christ, Dave & Joan Whitmire, Barbara & Frank Gormley, Mark Howard.
 
TREASURER
Phil Christ will be treasurer for this Meet.  MARC gives the club $5000 seed money to start which is then repaid after the Meet.  The Club will get any profits generated.
 
HOTEL
All events will be held at the Holiday Inn and Classic Auto Mall.  We will need greeters at the hotel door to direct people to hotel registration and then to the Meeting registration desk.  We have reserved all of the 185 sleeping rooms, as well as all meeting facilities, at the Holiday Inn.  The Holiday Inn is also comping 15 sleeping rooms to the Club.  Barbara & Frank Gormley, Dave & Joan Whitmire have been working on securing additional hotel space locally (New Holland, Ephrata) to satisfy the 400 room minimum needed.
 
Local police will routinely drive through the complex for security.
 
ACTIVITIES/EVENTS
Howard Kriebel is working on events and local attractions.  We need ideas of things to do, places to visit in Lancaster County.  The MARC people love Lancaster County and anything Amish.
Possible sites to visit (by bus or individually – TBD) – Strasburg Railroad, Ephrata Cloister, Green Dragon, Kitchen Kettle Village.
 
MEETING REGISTRATION AND BOOKLET INFORMATION
At the meeting registration desk, attendees will receive their packet of information and all tickets for activities they have signed up for in a goody bag.  There will be a MARC table where they will sell items, etc.
 
We need to pull together a list of support merchants/facilities within 10-15 miles (i.e., gas stations, service garages, pharmacy, restaurants, urgent care/MD, food stores, clothing and accessories, etc.) if needed by attendees.
 
Barbara Gormley contacted the Discover Lancaster tourist center.  They can prepare bags with brochures of local interest, etc.
 
MEET ACTIVITIES
  • Possible picnic dinner at the hotel Thursday evening.  Rent a tent, serve typical picnic food – hot dogs, hamburgers, potato salad, cole slaw, etc. 
  • Auction – could be in the tent on Friday.  Proceeds from the auction would go to the Gilmore.  Bob Martino said we have/need(?) 3 big-ticket items – Model A engine, transmission, Kelsey Tires is donating 5 tires for a Model A.  Are these the raffle items?
  • Grand Tour Thursday.  Need police to help direct traffic at the start (±300 Model A vehicles).  Modern cars allowed to participate.  25-30 mile tour.  Destination – Landis Valley Museum - tours, demonstrations, box lunch.  Cost - $25-30.
  • Swap Meet – Frank Falcone and Tom Hudecki.  To be set up on the side of the hotel.  Spaces will be numbered and taped off.  Sellers provide own tables/set-up. 
  • Hospitality Room.  Will be open daily – hours ??.  Need people to oversee and replenish refreshments throughout the day.  Provide snacks and beverages (bottled water, lemonade, ice tea).  Will seek donations from local companies – Wawa, Utz, Herr’s, Sheetz, Turkey Hill, etc.
  • Judging area will be near the Hospitality Room, just inside the Classic Auto Mall from the hotel.  Attendees will be able to view the judging through the large window.
  • Repair Trailer – with tools in case attendees have vehicle problems.  Lehigh Valley club??
 
 
MEETING LOGISTICS
  • Need theme.  “Make Your MARC at Classic Auto Mail”?
  • Letterhead with theme/logo, etc. for all official  communications (i.e.,  contact local companies for donations)
  • There will be a MARC Meet Facebook page. 
  • The meeting will be advertised in the Jan/Feb MARC magazine.
  • Mail-in registration – MARC has a software package.  This will be on-going March-May.  A very important job!  Will need minimum of 2-3 people working on this.
